My gf's job is asking for a 'certified copy of your degree .

The problem, is that her actual, embossed, golden, fancy diploma you get when you walk, is in another state (we couldn't fit everything into the car, and it's something too nice to have fit safely into the car with how crammed it was).

Now, I insisted to her the request is really weird, and I can't exactly afford to drive down at the moment (her job starts in a week). So I told her to email to clarify, and talk to her school.

The job people clarified saying:
- Copy of the Diploma
- Copy of your transcripts

She said don't worry about it being certified.

Now, I think this is ridiculous.

I seriously can't expect a job would want her to walk in, with her bigass framed diploma. I also cannot imagine that they want her to scan her diploma.

Most schools also seem to take somewhere between 6-12 weeks to get a 'duplicate diploma'. Her school said they don't do copy of diplomas, since they don't have any copy of the diploma, but they could do a duplicate diploma, which is a sort of replacement diploma that says "DUPLICATE" on it and looks different (making obvious it's a replacement).

Does anyone else think this is weird? What to do?

At best, we may be able to get someone from that state, to copy the diploma and email/fax it to us, but she didn't get the confirmation of the job until a week ago. What if the diploma was lost in a fire, would she be just as fucked as she is now? Should she tell the job about this issue? Isn't it a little weird they want a copy of the diploma?

Wanting transcripts is pretty common, but you'd think that if they saw the transcripts they'd pretty easily be able to figure out whether your girlfriend graduated or not.

Mmm when I graduated my univ. told me to take a copy of the degree before framing it so that it could be produced on demand for employers

Actually, I don't know anyone that this has happened to. So it seems pretty ridiculous to me.

Ofcourse they want to have some proof. Diplomas should have some number that can be tracked to verify if the diploma is real. Usualy there is some number of the university that you can call to see if its real. You know how easy it would be to fake credentials if they dont check your diploma.

Can't you have your girlfriend's university print another copy or make a university certified copy of the diploma? My university does for a steep ass steep price.

Not in the US they don't. (Edit: sorry, I misread you post, I thought you said diplomas *do* have some number that can be tracked.) I just checked both of mine and both of my wife's, and all four of them are form text, a university logo, minor embossing and/or gold leaf, the person's name and field, and a few signatures (not original ones). It surprises me to hear that this isn't the case everywhere, and it surprises me even more to hear that an employer wants to see one.

It's just so bizarre that in an age where transcripts are recorded electronically, the normal protocol is to call your college, pay a fee for them to mail you a sealed/signed copy of a transcript, and then physically give that to an employer. Even that seems like too much -- you should be able to call your college, tell them you authorized a release of your information to a representative from company X, then company X calls the college, and whoever answers can just read off your credentials from their screen.

I assume they just want proof that she got the degree. You can't necessarily tell from the transcript because it may just be a list of courses and grades, but nothing saying that the student met all the requirements for a degree in _____. Ask them if they'll accept a letter from the school confirming that she was awarded the degree. The school can probably crank a letter like that out pretty fast for a nominal fee (or free if you find a helpful admin assistant).

Perhaps you could share with us the job details?

I personally can't imagine any employer wanting an exact copy of the actual diploma. Employers wanting transcripts are common, but even that is more for co-op, internship, or entry-level jobs, and after a couple years in the field all you really need are cover/reference letters and an updated resume/cv. Not a single job I've applied for in my lifetime (including common part-time retail/administrative to full-time engineering) asked for a copy of the diploma.

My school has electronic un-certified copies of transcripts/diplomas available just for the asking. It doesn't take any time since it's electronic. You just have to go to the website, put in your information, and an email comes with the documents.

Have you checked for such a service on her school's website?

As someone who works as a recruiter for a RPO company, it is typically a part of the background check process for education verification. Depending on the client and how they do their background process/how much info they want, they might want an actual copy of the diploma or something as simple as a piece of paper typed out by a former teacher and signed w/ a school seal or w/e.
All knowledge is worth having.

The idea of having certified copies of official document is mandatory after the age of 14.I needed to produced legalized copies of documents everywhere I went.
A certified copy means a regular copy of a document realized by an accredited individual.In Europe we call them notaries or public notaries.

Dont know exactly the US legislation The basic principle is to prevent fake copies and fake documents.What the notary does is he scans the document then prints it then attaches a page with a stamp/signature on it and in the end charges you lots of money just for that.

If you would scan and print the diploma yourself that would be an uncertified copy and it is useless.
What you need to do is this:
1.Find a public notary/notary.
2.Take the original degrees/documents to him and ask for certified/legalizeed copies(it will cost you a ton of money I can guarantee).
3.Submit the certified copies to the workplace

Now as an individual who has had to deal with public notaries here is a protip for you aka way to save money

1.You make a legalized copy of only one document.
2.You take out the page that the notary attached(it will contain a seal and signature) and make lots of copies of it.
3.You make uncertified copies of your documents and attached them with the copies you made at step 2.
4.Presto!You have legalized copies

The method above has worked everywhere including places such as Harvard Uni,some Dutch unies,border control etc.
The basic idea is that copies of legalized copies are considered legal and also the fact that nobody calls the the notary themselves.

As an adult, all institutions from now on in your life will ask you for certified copies of everything:university documents house documents,id documents etc.As a personal advice keep certified copies of documents with you at all time.You will evetually need them

I have noticed the responses of Canadian people above.According to wikipedia Canada does not use public notaries which is a good thing since the random citizens save huge amounts of money.Also it is a good sign that the Canadians don't forge documents

There was an article about a man that forged many university diplomas in Toronto a few years back. A lot of international students came here for university, fail out and then bought a forge diploma and went back to their home countries with them. The copies were so close that they used the same paper and ink as each university. The guy got busted by a reporter but it wasn't illegal apparently.

Actually, this isn't ridiculous at all. This is absolutely standard. You're lucky it's just that, because many jobs need a lot more if other certifications are required.

Take it as a lesson learned. Get the thing scanned, and keep it on file. Bring along a printout for every interview, even if you sent it in digitally.

I suppose it depends on the job. If she works somewhere where a background check/security clearance is required then she may need to do that. However usually in other cases the HR departments are very reasonable and a transcript is usually all that's required. I would have her contact the HR to make sure that she really does need to bring in a copy of the diploma. If she does just take a picture, crop it and bring that in. That should count as a "copy"

Well as a recent student out of school, it's taken my school at least 2 months to get my degree in the mail. Not sure how standard it is, but none of my job interviews so far have asked for it.

For her school it's $16 and 6-10 weeks...

She didn't even apply for the job 6 weeks ago, and they told her she got it like 2 weeks before the day she's supposed to start (and that she'd need her diploma).

Thanks buddy, but that doesn't change the predicament we're in. Save the judgement - I can assure you there's good reasoning behind all of this. This job was completely unexpected, the diploma wasn't able to be taken, and it's the only time it wasn't with her in years.


I'm going to have her just tell her job what's going on, that it's kind of impossible to get the degree right away.

We were going to get someone who was driving to the state where the diploma was, to get in the apartment it's in, go to staples, take it out of the frame, scan it, email it to her, but he's completely unreliable and flaked out, even after we told him $100 and he said sure on Monday.

So she's screwed, I don't nor can afford to dish out $400 to drive all the way for this, and I work so I can't exactly skip off work like that. Just have to tell her job wtf, can't do this, anything else work?

I really don't believe that's what they mean by "Copy of your Diploma". They said don't worry about it being certified...

I really think she should email the job for exact clarification.

Don't know what else to tell ya "buddy." That's precisely what they mean. It's seriously, believably, exactly it. I've been through it as well.

It sucks there's no one there you can rely on who isn't flaky. It's also something that still might be requested for future opportunities if she decides to blow off this job anyhow. Definitely not a good situation to be in, sorry to hear it man.
